Workflow and operations
Intake is a marketing channel
The minutes between a form fill and a callback decide how much of a media budget turns into signed work.

Marketing teams and intake teams often report to different people and get measured on different numbers. Marketing hits its lead target. Intake works the queue. Nobody owns the gap between them, and that gap is where a large share of paid demand goes unused.
Where demand leaks
A consumer who fills out a form is comparing options. If a competitor calls first, the consumer often stops answering. Leads that arrive after hours, on weekends, or during a spike in volume wait the longest, and those are the leads a firm paid the most to generate during peak campaigns.
Treat intake as part of the funnel
Speed to first contact, contact rate, and qualification rate belong on the same report as cost per lead. When they sit together, the trade-offs become visible: adding intake capacity on weekends may produce more signed work than adding media spend.
The fix is rarely a single tool. It is routing rules that send each record to someone available, follow-up sequences that run on a schedule, and reporting that shows where records stall.
